Keep It Simple: The PhotoWhips Rental Agreement We Use

One of the questions we hear frequently from classic-car owners is:

“What kind of rental agreement should I use?”

At PhotoWhips, we believe in keeping things as simple as possible.

For most standard photo shoots, we don’t use a long contract at all. We simply confirm everything by text so both parties have a written record.

Our confirmation usually includes:

  • Date of the shoot

  • Start time

  • Location

  • Name of the photographer

  • Agreed rental price

  • Any special instructions or restrictions

We typically require 50% of the rental fee upfront to reserve the vehicle, with the remaining 50% due when we arrive at the shoot. Most of our payments are handled through Venmo.

A simple confirmation might look something like this:

Photo Shoot Confirmation

Vehicle: 1965 Ford Thunderbird
Date: December 12, 2026
Time: 7:30 AM
Location: Usery Pass, Arizona
Photographer: [Photographer Name]
Rental Fee: $___
Deposit: 50% due to reserve the vehicle
Balance: 50% due upon arrival

Vehicle is being provided as a photography prop only. Driving the vehicle is not included unless specifically agreed upon in advance.

Once both parties confirm the details by text and the deposit is received, the car is reserved.

Weddings Are a Little Different

For weddings, we normally use a short written agreement because there are usually more moving parts.

A wedding may involve multiple locations, transportation, longer rental periods, specific arrival and departure times, waiting between photographs, decorating the vehicle, or using the car for the bride and groom.

Even then, we believe the agreement should be short, understandable and specific.

Our basic wedding agreement identifies the vehicle, date, locations, hours required, agreed price, deposit, remaining balance and exactly what the client is permitted to do with the vehicle.

We don’t believe every classic-car photo rental needs pages of legal language.

The most important thing is that everyone understands the agreement before the day of the shoot.

Protect Your Car and Your Time

Every owner on PhotoWhips controls their own vehicle.

You decide:

  • Your price

  • Where you’re willing to take the car

  • How long you’ll stay

  • Whether anyone can sit in the vehicle

  • Whether food, drinks or decorations are allowed

  • Whether anyone other than you can drive it

  • What happens if the shoot runs overtime

We very seldom allow someone else to drive our vehicles. If driving is permitted, that should be discussed separately and insurance should be verified before handing over the keys.

Remember: your car, your rules.

PhotoWhips simply helps connect beautiful, unique vehicles with photographers, couples, brands, filmmakers and other people looking for something special for their production.

Keep the agreement clear. Keep a written record. Collect a deposit.

And then go have fun watching your whip become part of somebody’s memories.
